Adding & Managing Team Members

StoutStack lets you bring in the people who help run your site: a colleague who writes blog posts, a marketer who updates pages, or a business partner who needs full access. This article covers how to add teammates, the two roles you can give them, and the rules that keep your team organized (and keep you from ever locking yourself out). Managing your team is a Site Admin task.

Where to manage your team

Go to Site → Users. This is where everyone with access to your site is listed, and where you add, edit, or remove people. Only Site Admins can add, edit, or remove team members and change roles. Site Editors get a read-only view: they can see who's on the team, but they can't manage it.

Adding a team member

  1. Go to Site → Users.
  2. Click Add User.
  3. Enter their name and email address.
  4. Set a password for them (they can change it after they sign in). You can also add a profile picture if you like (it's optional).
  5. Choose their role (see the two roles below).
  6. Assign which site(s) they're allowed to work on.
  7. Save. Your teammate can now sign in with the email and password you set.

The two roles

Every team member has one of two roles, so you can give people exactly the access they need:

  • Site Admin: full control. Admins can do everything: edit content, manage the team, change settings, and handle billing.
  • Site Editor: content only (the default). Editors can create and edit pages, posts, and other content, but they can't manage users or open your settings. This is the safe default for most people you add, perfect for writers and content helpers.

When in doubt, start someone as a Site Editor. You can always change their role later.

Rules worth knowing

  • Site Admins manage the team. Admins can add new people, edit their details, remove them, and change anyone's role.
  • You can't change your own role or remove yourself. This is on purpose. It means you can never accidentally lock yourself out of your own site. If you need to step back from the admin role, ask another Site Admin to make the change for you.
  • Site Editors stay in their lane. Editors get a read-only view of the team and can't open your site settings, so there's no risk of them changing billing or removing teammates.

How many people can I add? (Seat limits)

The number of editor seats you have depends on your plan:

If you try to add someone beyond your plan's limit, StoutStack will let you know and prompt you to upgrade for more seats. Moving up to Pro is instant, so you can add the new teammate right after.

What happens to my team if I downgrade?

Downgrading (say, from Pro back to Starter) keeps your existing team in place. Nobody is removed. You simply won't be able to add new members beyond the lower plan's limit until you upgrade again.
